Shipping and Receiving Clerk (Stores Representative)
Job Summary
Department-Specific Responsibilities
- Responsible for handling all the shipping and receiving of materials for the Chemistry Department, as well as alerting faculty, staff, and students when they have packages ready for pickup.
- Compares each packing slip delivered to the Chemistry Scientific Store to corresponding purchase order (PO) to ensure accuracy and completeness.
- Scans all packing slips and attaches them to the proper PO. Creates receipts in the IU purchasing system to track items that are delivered; obtains signatures from faculty, staff, or students to verify receipt when necessary.
- Responsible for cylinder and dewar deliveries for various gases and liquid nitrogen, as well as coordinating fill-ups for the department, and audits as needed.
- Works closely with the Supplies Coordinator to maintain the stockroom, track inventory, and assist Chemistry Store customers as needed.
- Coordinates and / or processes all outgoing shipments for the Department of Chemistry faculty, staff, and students using FedEx, UPS, USPS, and other carriers. This includes preparing the freight for travel (packaging, strapping, pallet loading) and coordinating the pickup of items no longer needed by the department with IU Surplus.
- Responsible for tracking all Chemistry capital assets in the IU database including adding new assets as they arrive.
- Assists with the set up and tear down of folding chairs and tables for Chemistry events as needed, light departmental moving or relocating of equipment especially in the dock area.
- Attends required safety training (e.g. shipping of dangerous goods by air).
General Responsibilities
- Receives incoming shipments of goods and materials. Unloads trucks and accepts items based upon quantity, quality and condition. Monitors inventory. Enters data into computerized inventory system. Recognizes items and materials that require special handling or storage requirements and treats with appropriate care (perishable, volatile, toxic, etc.).
- Stores goods in designated areas; rotates stock according to shelf life, expiration dates, lot numbers or other criteria. Gathers goods and materials from inventory locations as specified by pick list or requisition. Secures items on pallet or other container for shipment. Reconciles quantities of collected goods and materials with requisition or pick list; transports to dock and loads truck.
- Unloads and loads trucks manually or by operating a power fork lift, rotates stock and moves other bulky and/or heavy items in warehouse. Performs inventory counts; participates in monitoring facilities and in maintaining building security. May staff a customer service counter and respond to customer requests. May use University vehicle to make deliveries and pick up materials. Performs routine maintenance and makes minor repairs to equipment as necessary.

Working Conditions / Demands
This role requires the ability to effectively communicate. It involves remaining in a stationary position for long periods of time as well as moving around the work environment. The role requires the ability to detect details of objects and the ability to move objects weighing up to 25 pounds. Purchasing Representative (Financial Administration Coord)
Job Summary
Department Specific Responsibilities
- Prepares purchase orders for goods and services, advises faculty and purchasing policies and procedures and consults on contract vendors and prospective vendors and pricing based on types of equipment and supplies requested.
- Resolves issues with purchase orders by communicating with vendors, IU purchasing and department members regarding products, pricing and returns.
- Serves as back-up for Seminar and Travel coordinator completing tasks such as scheduling and event management, arranging travel for visiting speakers and faculty, graduate students and scientists.
General Responsibilities
- Under moderate supervision, performs financial and administrative tasks related to processing financial or other administrative records.
- Processes documents into the university's central information systems (BuyIU, KFS, Travel, etc.) and verifies that information is correct. Investigates and resolves discrepancies in financial documents.
- Maintains records of financial transactions, compiles data, and prepares reports.
- Confirms available accounts and ensures timely payments are made to payees.
- Responds to inquiries regarding financial and/or travel policies and procedures.
- Serves as a liaison to department and/or other university divisions (accounts payable/purchasing).
- Collaborate with Procurement Rep to ensure accurate order processing.

Chemistry Lab Technician (Laboratory Research Assistant)
Job Summary
Department-Specific Responsibilities
- Coordinates distribution of supplies, chemical reagents and equipment for undergraduate teaching laboratories.
- Instructs students regarding the set-up of experiments and assists students in the appropriate methods of conducting lab experiments in coordination with the course associate instructors.
- Ensures students understand the scientific procedure and data collection. Provides detailed explanations of chemical concepts that will aid students in successful completion of the experiment. Troubleshoots issues related to reagents and instruments that arise during lab courses and resolves them quickly.
General Responsibilities
